Schedule a post: channels, media, text, date
In the publication editor, you put together a post for one or more channels. Date and time apply to all channels, while format, media and text are set per channel. Only Schedule publication turns it into a scheduled date.
Where do I open the editor?
The editor is a window in the Calendar. It is called New publication, and for an existing post Edit publication. You reach it by every route the calendar offers, or with Schedule in the Post Generator and Schedule now in the Visual Designer. Then it already comes with your text or images. You need at least one connected channel: Connecting channels.
To a scheduled post in seven steps
- Choose channels. Under “Where should this post go out?” there is one chip per connected channel. The checkmark switches the channel on or off. If only one channel is connected, it is already on. With several, none is on.
- Choose a format. Every channel has its own formats, for example Feed post, Story or Reel. You can pick several at once, such as feed post and story on Instagram. Without a format, it says: “Pick a format – then you can add media and text.” All formats are listed in Formats by platform.
- Add media. With From photo library, Create design or Upload a file. Each format card shows the rule and a badge such as ready or image missing.
- Write the text. Directly in the field or with Use text from a draft. The counter shows how much of the channel’s text limit you have used.
- Check the options. Every platform has its own switches. For TikTok, for example, there is the mandatory choice Visibility.
- Set date and time. Both fields are at the top of the editor and apply to all channels. You can’t pick times in the past.
- Click Schedule publication. The post becomes Planned. If approvals apply to you, it goes into approval instead: Approvals.
Title, date and time
The title field is optional. If you leave it empty, companycore builds the title from the first line of text when you save, without hashtags and mentions and with at most 80 characters. If the text yields nothing, the title consists of platform, format and date. The placeholder shows what will be entered while you type. Only if nothing at all can be derived does the editor report “Title is missing”.
LinkedIn shows the title publicly
For LinkedIn Document and LinkedIn Video, the title appears publicly on the document or video. Read it through once more before scheduling. The editor shows a note about this.
Date and Time are separate selection fields. All times are in German time (Europe/Berlin). If your browser is set to a different time zone, the editor shows “Times shown in German time”.
What happens when I switch on several channels?
- A second channel takes over text and media from a channel that is already filled in. The editor says so, for example “Text and media copied from Instagram”. What doesn’t fit the new format is not copied, and the editor tells you how many media that affects.
- It never copies settings for TikTok and YouTube, such as visibility and consent. You set those for each channel yourself.
- Text, format and media are separate for each channel. You can keep the Instagram text shorter than the LinkedIn text, which can have up to 3,000 characters.
- If you switch a channel off again, text and media are kept until you save. Only once saved is the channel dropped.
- A “!” on the channel chip means something is still open. The tooltip gives the reason.
- If you come from the Post Generator or Visual Designer, all channels are off at first. When you switch one on, the editor immediately fills in the content you brought: a video as a Reel, video or Short, images as a feed post or TikTok photo post, and a 9:16 design from the Visual Designer as a story where stories exist.
Media, alt text and cover image
- Three routes: From photo library shows only media of the matching type. In the sidebar, the photo library is called Files (Files and videos). Create design jumps to the Visual Designer and only works for image formats. You return with the message “Design added”. Upload a file uploads directly. You can also drag files into the editor.
- Limits: at most 200 MB per file. Videos are at least 3 seconds and at most 3 minutes long. The editor converts videos and shows the progress as a percentage. While that runs, Schedule publication stays locked: “A video is still processing — you can schedule in a moment.”
- Alt text: A click on an image opens Image details. In the Alt text field, you describe what is in the image. This is available for images in feed posts on Instagram, LinkedIn and Facebook. Tiles with alt text carry the badge ALT.
- Tag people: Instagram only, and only for images. Tap the image to tag someone, up to 20 per image. Tags can be moved.
- Cover image: For videos, you pick a still frame under Choose cover with the slider or with Own image …, as long as the platform accepts a cover image. Where that works is shown in the cover image table.
- Instagram feed with a different aspect ratio: Images outside 4:5 to 1.91:1 are posted with a border, not cropped. The editor tells you beforehand: “Will be posted with a border (aspect ratio outside 4:5–1.91:1) — nothing gets cropped.”
Text, hashtags and mentions
- Text exists only if the format has it. Stories have none: “Story: the text belongs in the image.”
- Use text from a draft shows your drafts from the Post Generator. The text lands at the cursor. The draft itself stays unchanged.
- Tools: a text tool for emoji, bullet points and special characters, and a microphone for dictation.
- Counters: The character counter compares with the channel’s limit, for YouTube in bytes. The hashtag counter shows a recommendation: Instagram 5, TikTok 5, LinkedIn 3, YouTube 3, Facebook 2. These are recommendations, not blocks. companycore only blocks at 30 hashtags or 20 @-mentions. According to its Help Center, Instagram itself allows up to 5 hashtags per post (retrieved October 13, 2026). More in How many hashtags in 2026?.
- Preview excerpt: The editor also shows how much text stays visible before “…see more”.
- Bold and italic: If you use special characters that imitate bold or italic, the editor warns you: The platform can’t do real bold or italic, so such characters appear as plain text.
| Channel | Result |
|---|---|
| The mention is linked. | |
| TikTok | The mention is linked. |
| YouTube | The mention is probably linked. |
| It stays text. | |
| Only company pages are linked. With Link company… you look up the address linkedin.com/company/…, up to 10 per post. People stay text. |
Options per platform
| Channel | Option | Default and notes |
|---|---|---|
| Also show the reel in the feed | Only for the Reel format. Default: on. If switched off, the reel only runs in the Reels tab. | |
| Allow resharing | Default: on. | |
| Allow comments | Default: on. The switch only appears if your LinkedIn connection has the permission. If closing the comments after posting doesn’t work, the receipt says so. | |
| TikTok | Visibility | Mandatory choice with no preselection: Everyone, Mutual follow friends, Followers or Only me. What is on offer depends on your TikTok account. |
| TikTok | Allow comments, Allow Duet, Allow Stitch | Default: off. If something is turned off in the TikTok account, it says “turned off in your TikTok account”. |
| TikTok | Disclose commercial content | A switch with Your brand (becomes “Promotional content”) and Branded content (becomes “Paid partnership”). More in Labeling ads. |
| TikTok | Created or edited with AI | A switch, preset when a file is AI-generated. More in AI labeling in companycore. |
| TikTok | Consent | Mandatory checkbox: “By posting, you agree to TikTok’s Music Usage Confirmation”. For branded content, TikTok’s Branded Content Policy is added. Without the checkmark, Schedule publication stays locked. |
| TikTok | Title (max 90 characters) | Only for the Photo post. |
| YouTube | Title | Mandatory, at most 100 characters, no angle brackets. Prefilled from the first line of text. |
| YouTube | Visibility | Public (default), Unlisted or Private. |
| YouTube | Made for kids | Default: no. |
| YouTube | Altered or synthetic content | Preset automatically. More in AI labeling in companycore. |
| YouTube | Allow embedding on other websites, Notify subscribers | Both in the Distribution section, both on by default. |
| none | Facebook has no options of its own in the editor. |
TikTok is rolling out step by step
TikTok is being enabled gradually. If you don’t see it in the editor, it is not connected yet or not yet enabled for your brand. What you can choose for TikTok is explained in Connect TikTok.
Collab partners on Instagram
For Feed post and Reel on Instagram, you find Collab partners (post together). You enter up to three Instagram accounts. They get an invitation and have to accept. There are no collabs on Facebook.
Preview and checks before scheduling
On the right, Preview shows the approximate look per channel and format, with the name of your account. The tooltip says: “Approximate rendering — the platform may show details differently.” On narrow screens, you switch between Edit and Preview at the top.
Schedule publication stays locked until everything fits. To the left of the buttons is the first open item. You can click it, and it jumps to the field. If there are more open items, something like “+2 more” follows, and a click opens the full list. The reason is also shown as a tooltip on the button. When everything fits, it says for example “Goes out on Instagram and LinkedIn · Tue 20/10, 10:00”.
What locks the button
- At least one channel is chosen.
- Date and time are set and not in the past.
- Every channel has at least one format.
- Media and text match the rules of the format (Formats by platform).
- For TikTok, Visibility and the consent are set.
- Every account is connected. For Facebook and LinkedIn, a target is chosen.
- Uploads and video conversion are finished.
What only warns
- An Instagram image has a different aspect ratio and gets a border.
- A carousel mixes aspect ratios.
- The video is already on YouTube: “This video is already uploaded to or processing on YouTube — YouTube rejects the same clip as a duplicate.”
- The connection expires before the date. Then you have to renew it in Backstage before the date arrives.
If the button stays gray and you don’t know why, I can’t schedule my post helps.
Save or schedule?
| Button | What happens |
|---|---|
| Save & close (on a phone Save) | Saves without changing the status. A draft stays a draft, and a scheduled post stays scheduled as long as it is still valid. A failed post stays failed. The exception: if an admin saves a post that is waiting for approval, that approves it (“Saved, and thereby approved.”). More in Approvals. |
| Schedule publication (on a phone Schedule) | Sets the status to Planned. If approvals apply to you, the post goes into approval: “Sent for approval. See ‘Approval’.” |
| Approve / Reject | Appear instead of Schedule publication for waiting posts, for everyone who may approve. More in Approvals. |
A scheduled post without a date or without a channel falls back to a draft when you save. If you close the editor with unsaved changes, it asks “Discard changes?”.
Which profile or page gets the post?
On Instagram, the connected account is the target. On Facebook and LinkedIn, Backstage › Connections › Target profile decides where the post goes, on LinkedIn the personal profile or a company page. When you save, the post takes over the target that is currently selected there. There is no per-post choice in the editor. For several pages or profiles, you need several brands (Team, roles and brands). If the target is missing, the editor reports for example: “Facebook: No page selected — set one in Backstage under Connections.”
What happens when two people edit at the same time?
If someone else saves the post while you have it open, the dialog Changed in the meantime appears: “This post was saved by someone else while you had it open.” With Reload you fetch the new version. With Overwrite anyway, your version applies.
Frequently asked questions
Why isn’t Instagram preselected?
If several channels are connected, all of them are deliberately off so that you choose yourself. Only with exactly one connected channel is it on right away. If a platform filter is active in the calendar, that channel is on as well.
Can I set a separate time for each channel?
No. Date and time apply to all channels of a publication. If you want Instagram at 9 a.m. and LinkedIn at noon, you create two publications.
Can I word the same post differently for each channel?
Yes. Text, format and media are separate for each channel. Only the date is shared.
Do I have to type a title?
No. If you leave the field empty, companycore builds the title from the first line of text when you save. For LinkedIn documents and videos, the title is publicly visible, so it’s worth writing your own there.
Can I pick a date in the past?
No. The picker only allows today and later, and in the calendar past days are view-only.
