Schedule and publish your first post
With Schedule, your post lands in the Calendar. There you choose channel, format and date and click Schedule publication. At the scheduled time, companycore publishes automatically.
Time needed: about 10 minutes. You need: a draft with copy, preferably with an image (Step 7), and at least one connected channel (Step 6).
How do you open scheduling?
In the Post Generator, you click Schedule under the text; in the Visual Designer, you click Schedule now in the top bar. Both open the Calendar with the “New publication” dialog, prefilled with copy and image. The “You’re scheduling this” card shows where the content comes from. The draft stays in the Post Generator: “Created in the calendar. The draft is still here.” In the Post Generator, Schedule only works with copy; in the Visual Designer, Schedule now needs an image. In both cases, at least one channel must be connected.
You can also start in the Calendar itself: with + new publication (the date is preset to tomorrow at 10 a.m.) or by clicking a day.
Save & close doesn’t schedule
Save & close only saves the publication as a draft. It’s only scheduled once you click Schedule publication. Drafts don’t appear in the Calendar grid, only in the list on the left under Draft. On a phone, the two buttons are called Save and Schedule.
How do you choose channel and format?
- Switch a channel on. Under “Where should this post go out?”, there’s a chip for each connected channel. The checkmark switches the channel on or off, and clicking the name selects it for editing.
- Understand the preselection. If exactly one channel is connected, it’s already on. With several, all are deliberately off, and you decide. When you switch a channel on, the app fills in your content.
- Add a second channel. It takes over copy and media from the first, for example with the note “Text and media copied from Instagram”. The app reports anything that doesn’t fit the format as “Not copied (didn’t fit the format)”.
- Choose a format. Per channel, you choose one or more formats. For Instagram these are Feed post, Story and Reel, for LinkedIn Feed post, Document and Video. Without a format, the app says “Pick a format – then you can add media and text.” All formats and limits are in Formats and limits.
What do you check for media and copy?
- Media. For each format, a card shows the rule, for example “1 image or video”, and a badge: “ready”, “image missing” or “video missing”. You add media via From photo library, Create design or Upload a file. From photo library opens Files.
- Alt text. Clicking an image opens Image details with the Alt text field (“What can be seen in the image?”). The alt text describes the image for people who can’t see it.
- Copy. If the field is empty, Use text from a draft pulls in a draft from the Post Generator. One counter shows the characters against the platform’s limit, a second one the hashtags with a recommendation.
- Preview. On the right, Preview shows the approximate rendering for each channel. The app points out that the platform may show details differently.
- Title. You don’t have to fill in the title field. If it stays empty, the app builds the title from the first line of text. For a LinkedIn document and a LinkedIn video, the title is publicly visible.
How do you set the date?
At the top of the editor, you choose Date and Time. Both apply to all channels of the post, while copy, format and media stay separate for each channel. All times are in German time, even if your browser is set to another time zone. You can’t choose a time in the past. The preset is 10 a.m.: tomorrow for + new publication, and the clicked day when you click an empty day in the month view (if it’s already later than that today, the next half hour). In the week and day views, the app takes the time you clicked. companycore doesn’t suggest a “best time”; you set the time. What studies say about it is in Best time to post.
When can you click “Schedule publication”?
The Schedule publication button stays locked until everything fits. The reason is shown in the status line at the bottom left. Clicking it jumps to the field concerned, and “+2 more” opens the list of all open items.
| Message | What you do |
|---|---|
| “Pick at least one channel.” | Switch on a channel in the channel bar. |
| “Scheduling needs a date and time.” | Choose Date and Time. |
| “That time is in the past” | Set the date to today or later. |
| “Instagram: pick at least one format” | Click a format, for example Feed post. |
| “A medium is still missing here.” or the badge “image missing” | Add the missing medium. |
| “Facebook: No page selected — set one in Backstage under Connections.” | Under Backstage › Connections, choose the Target profile. |
| “Instagram: account not connected — connect it first or switch the platform off.” | Reconnect the account or switch the channel off in the editor. |
When everything fits, the status line says, for example, “Goes out on Instagram and LinkedIn · Tue 20/10, 10:00”. After the click, “Publication scheduled ✓” appears. More reasons for a locked button are in Can’t schedule.
On the Starter plan there’s no approval, and the post goes straight to Planned. If you’re an editor in a team, it goes to approval first: “Sent for approval. See ‘Approval’.” An admin or the owner then approves it; more in Approvals. Owners and admins usually schedule directly.
What happens at the scheduled time?
| Status | Meaning |
|---|---|
| Draft | Saved but not scheduled. Only appears in the list on the left. |
| Approval | Scheduled and waiting for an admin or the owner. Available from Pro. |
| Planned | Firmly scheduled. Goes out automatically at the scheduled time. |
| Publishing | Running right now. The post is locked during this time. |
| Published | It’s out. |
| Failed | The scheduled time has been reached, but the post wasn’t published. |
As a rule, the post appears at the scheduled time or one to two minutes later. TikTok and YouTube need additional time for processing afterwards. The Calendar updates the status by itself and, on success, shows the message “‘Title’ is published.” If you open the published post, you’ll see a View link for each channel that leads to the post on the platform.
If a post is about to fail, for example because of an expired connection or missing media, the app warns you beforehand with “Problem before the date”. A published post can no longer be changed or deleted in companycore. That’s only possible directly on the platform.
Did it work?
Open the Calendar and choose the Planned segment on the left. Your post is there and in the grid on the chosen day. If you don’t see it in the grid, it’s still a draft, or a platform filter hides the channel. After the scheduled time, it switches to Published. If it didn’t go out, Post not published helps.
