Set up approvals with your team and clients
With approvals, nothing goes out that hasn’t been signed off: on the Pro plan and above, admins or the owner approve editors’ posts, and on the Max plan the client can also give final approval. On the Starter plan, scheduling a post is the approval.
When do approvals apply?
Nothing is published that isn’t actively scheduled. Whether someone has to approve it first depends on your plan and on who schedules. Multiple users and brands are available on Pro and above. The roles are Owner, Admin, Editor, Viewer and, on the Max plan, Client. Owners and admins schedule directly. With Approval for scheduling switched on, editors’ posts go into approval.
| Plan | What applies | Setting (default) |
|---|---|---|
| Starter | No approval stage. Your scheduling is the approval: what you schedule with Schedule publication goes out at the scheduled time. | – |
| Pro | Team approval: what editors schedule has to be approved by an admin or the owner. | Approval for scheduling (on) |
| Max | Like Pro, plus client approval as an additional stage after the admin. | Approval for scheduling (on), Client approval (off), Client may unschedule (off) |

How do I set up approvals?
The settings are under Settings › Permissions. The page is titled “Permissions & approvals”. Only the owner can change it, and the tab only exists with Pro or Max.
- Open Settings › Permissions. As the owner, on Pro or Max.
- Check Approval for scheduling. The switch is on by default: “When on, publications scheduled by editors must be approved by an admin or the owner before they go live.”
- On the Max plan, switch on Client approval. Then the client also has to approve. If editor approval is on as well, this is the second stage after the admin.
- Optionally switch on Client may unschedule. The client can then set scheduled posts back to draft, which means pausing them or taking them out of the schedule.
- Assign the Client role. You do that in the Team tab, and only as the owner. More in Team, roles and brands.
How does an approval work?
The chain: the editor schedules, an admin or the owner approves, and with client approval switched on, the client approves next. Then the post is Planned and goes out at the scheduled time. If an admin or the owner schedules, the internal stage is skipped: with client approval on, the post goes straight to the client, otherwise straight to Planned.
- Editor schedules. They click Schedule publication. The editor reports: “Sent for approval. See ‘Approval’.”
- Admin or owner reviews. The post sits in the calendar in the segment Approval, blue, with the pill “Awaiting approval”. The people who may approve get the notification Approval requested.
- Client reviews, only on the Max plan and with client approval switched on. The post is at Client approval, pink. The client sees it in their calendar under To review.
- The post is Planned. At the scheduled time, companycore publishes it automatically.
What the colors mean is explained in Status and notifications.
How do I approve or reject?
- In the editor: At the top it says “This publication is awaiting your approval.” At the bottom there are Reject and Approve instead of Schedule publication. Clients read: “This publication is waiting for your client approval.”
- In the calendar: Right-click the card, on a phone long-press, then Approve or Reject.
- Approve confirms with “Publication approved ✓”. If the client is still missing, it says: “Approved — now waiting for the customer’s approval.”
- Reject turns the post back into a Draft. The creator gets the message “… was rejected and is back to draft”. There is no field for a reason. Settle the reason briefly within the team, for example by message.
- Date already passed: Then the editor says: “The scheduled time is in the past — move it first, then approve.” The client reads: “The scheduled time has passed — ask your agency to reschedule it.”
“Save & close” approves
If an admin clicks Save & close on a waiting post, that approves it. The editor reports: “Saved, and thereby approved.” Keep that in mind when you only want to fix something.
What applies after approval?
- Changes: If an editor changes the content or date of an already approved or scheduled post, the post has to be approved again.
- Withdrawing approval: Choose Unschedule and confirm the prompt “Withdraw from approval?”. The pending approval ends and the post is a draft again.
- Client stage: Besides the client, only the owner may give client approval, not an admin.
- No approval, no post: If the date passes without approval, companycore publishes nothing. The notification Approval overdue appears: “… missed its date — approval still missing”. Even earlier, the pre-check warns with Problem before the date if an approval is still open. More in Status and notifications.
What does the client see?
The Client role exists on the Max plan. In the sidebar, a client only sees the Calendar, plus privacy, feedback, light/dark mode, language and log out. Every other page redirects to the calendar.
- Two segments: To review and Approved. The note reads: “You see everything awaiting your approval or already approved.”
- Not visible: drafts and the internal approval stage.
- Possible: view, approve, reject and, if the owner has switched on Client may unschedule, unschedule.
- Not possible: create, edit or move posts. The agency moves dates.
- Failed posts: The client sees them with “Your agency will reschedule this post.”
- Emails: In the settings, the client only sees the Notifications tab so that they can unsubscribe from emails.
- One brand: A client access belongs to exactly one brand. If it belongs to several, the app reports: “Your customer access belongs to several brands — companycore does not support this yet.”
Tip for agencies
Agree fixed approval deadlines with the client and schedule posts with a buffer of at least one working day. A post for Monday at 9 a.m. that the client only sees over the weekend may otherwise not go out.
Frequently asked questions
Do I need approval if I work alone?
No. As the owner you schedule directly, and the Starter plan has no approval stage at all. Nothing goes out before you have clicked Schedule publication.
Can I write a reason when I reject a post?
No, there is no field for a reason. The post becomes a draft again, and the creator gets a notification. You settle the reason within the team.
Can the client move dates?
No. They can view, approve, reject and, if allowed, unschedule. Moving and editing is done by the agency.
What happens if nobody approves in time?
companycore doesn’t publish the post. The people who may approve and the creator get Approval overdue. Move the post to a new date and have it approved.
Can an admin give the client approval?
No. Besides the client, only the owner approves the client stage.
